Introduction and Scope

This Privacy Policy explains how BidScreener ("BidScreener," "we," "us," or "our") collects, uses, stores, and shares information when you use our website and AI-powered contract analysis services (the "Services").

Please read this Policy together with our Terms and Conditions. Where applicable law requires a different basis for processing or additional notices, those requirements apply.

1. Information We Collect

Depending on how you use the Services, we may collect:

  • Account information, such as your email address, username, organization details, and authentication-related information.
  • Company profile criteria and preferences you provide, such as budget limits, geographic preferences, compliance parameters, and prohibited contract terms.
  • Uploaded documents, contracts, RFQs, proposals, document metadata, and AI-generated outputs.
  • Payment and transaction information, such as purchase records, billing details, and payment status. Payment card details are handled by the payment provider according to its processes and policies.
  • Technical and usage information, such as IP address, browser and device information, logs, and usage analytics, where collected.

2. How We Use Information

We use information as reasonably necessary to:

  • Provide document analysis, summaries, risk assessments, and related features.
  • Operate and secure user accounts, authenticate users, and provide support.
  • Process credit purchases, track credit balances, and resolve payment or scan issues.
  • Monitor, troubleshoot, maintain, and improve the Services.
  • Comply with legal obligations and prevent fraud, abuse, or security incidents.

3. AI Processing and Model Training

BidScreener does not use uploaded documents, proprietary data, RFQ contents, or evaluation outputs to train or fine-tune its own public or shared AI models.

To provide the Services, uploaded materials may be sent to third-party AI, hosting, storage, or infrastructure providers. Their access, retention, and use of data depend on the services and settings used by BidScreener and the applicable provider terms. We will not make broader claims about provider practices than we can verify.

4. Data Sharing

We do not sell personal or corporate information to third parties for their own marketing purposes. We may share information with service providers that help us operate the Services, including:

  • Cloud hosting, storage, and infrastructure providers.
  • AI processing providers used to analyze uploaded documents.
  • Payment processors, including Paddle or its designated payment service providers.
  • Authentication, security, monitoring, customer support, and analytics providers, where used.
  • Authorities or other parties where disclosure is required by law or reasonably necessary to protect rights, safety, and security.

5. Data Retention and Deletion

Uploaded documents and generated reports are retained for up to thirty (30) days from upload or generation, as applicable, and are then scheduled for deletion from primary application systems.

Copies may remain for a limited period in backups, logs, or third-party systems, or may be retained where necessary for security, dispute resolution, or legal compliance. Actual retention periods depend on the relevant system and provider.

You should download any reports or documents you wish to keep before the retention period ends. You may contact us to ask about deletion or other privacy requests.

6. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Describe specific controls, such as encryption standards, access restrictions, firewalls, and vulnerability monitoring, only where they are actually implemented and maintained.

7. International Processing

BidScreener and its service providers may process or store information in countries other than the country where you are located. Where required, we will use appropriate safeguards for international transfers and comply with applicable data-protection requirements.

8. Cookies and Analytics

The Services may use cookies or similar technologies for essential functionality, security, preferences, and analytics where enabled. The final published Policy should identify the technologies actually used and explain how users can manage non-essential cookies where required by law.

9. Privacy Rights and Requests

Depending on your location and applicable law, you may have rights to request access to, correction of, deletion of, or a copy of your personal information, or to object to or restrict certain processing.

If you have any questions about this Privacy Policy, please contact us through our Contact page.

10. Children's Privacy

The Services are intended for business use and are not directed to children who are not legally permitted to use the Services. If you believe a child has provided personal information inappropriately, contact us so we can review the request.

11. Changes to This Privacy Policy

We may update this Policy from time to time and will post the revised version with an updated effective date. Where required by law, we will provide additional notice or obtain consent for material changes.
